Car and self-drive hire
Car rental software
A counter, a yard of cars in three or four classes, and a day that is mostly handovers.
Join for freeVolume is the whole problem. Nothing about one booking is hard; forty of them against thirty cars is, and the one that goes wrong is always the ordinary one taken while the planner was out of date.
What carries the weight
- Availability checked against the vehicle, so an overlapping booking is refused as it is made
- Rental plans and rates set once, then applied to any car in the class
- Customer records with licence details, so a repeat hirer is a lookup rather than a form
- The day on one screen: what leaves this morning, what is due back

What it looks like in practice
Thirty cars, forty bookings, one Saturday
A yard of thirty in four classes takes about forty movements across a summer weekend. The one that goes wrong is never the complicated hire; it is the ordinary Tuesday-to-Friday taken while somebody was on the phone and the planner was an hour out of date. Availability worked out per vehicle rather than per class refuses that booking as it is made, and the turnaround set on the class stops the same car being promised at noon when it is back at eleven.
Questions from car and self-drive hire
- Can it stop double bookings across four vehicle classes?
- Yes. Availability is checked against the individual vehicle rather than the class, so an overlapping booking is refused as it is made rather than found later.
- Do I have to price every car separately?
- No. A rate plan is set once against a vehicle class and every car assigned to that class is quoted from it. Change the plan and every car on it follows.
- What happens when a car comes back late?
- The booking is extended on the record and the ledger follows it. The turnaround set on the class keeps the next hire from being promised before the car can be cleaned and checked.
- Is a repeat hirer a form to fill in again?
- No. The customer record holds licence details and rental history, so a returning driver is a lookup and the second hire starts from what you already know.
It is one piece of software, not five editions of it
Nothing above is a separate product or a paid module. What changes between these trades is which parts you lean on and what you call them, so every plan includes all of it.
