Take the booking while they are still standing there

Dates first, then the vehicles genuinely free on those dates. Nothing is held until you take it, and nothing can be promised twice.

Availability

What is free, on the days actually asked for

Set the day it goes out and the day it comes back, and the list narrows to what nobody else has been promised.

Taking a booking in Rent Ride: the dates on the left, and the vehicles free on those dates beside them.
Read from the vehicle
Availability comes from what each vehicle is already committed to, not from a calendar somebody keeps current by hand.
The workshop counts
A vehicle booked off the road for a service stops appearing for those dates, without anybody remembering to say so.
Priced as you pick
Each row is quoted from your own rental plan, so the price on the list is the price on the booking.

The day

What leaves this morning, and what is due back

The desk opens on today: the handovers, the returns, and anything that has not come back yet.

The bookings list in Rent Ride, showing what goes out today, what is due back and what is overdue.
Overdue is a state
A hire past its return time says so on the row, rather than being noticed when somebody rings to ask.
Found by anything
A name, a plate or a reference finds the booking, so a phone call does not turn into a hunt.
One screen, one day
Everything happening today is on one page, in the order it happens, rather than across three.

The booking

One record, and everything attached to it

The vehicle, the driver, the dates, the money and the paperwork on the same record, so the counter is not four screens.

A single booking in Rent Ride, with the vehicle, the customer, the dates and the money on one record.
The handover is recorded
Mileage and condition at the counter, written against the booking rather than onto a sheet in a drawer.
Money where the dates are
Charges, the deposit and what is still owed sit on the same record as the hire they came from.
A reference you can read out
Your own prefix and numbering, short enough to say down a phone without spelling it.

And the rest of what the desk does

The smaller things, which are the ones that decide how long a handover takes.

Walk-ins

A customer standing in front of you is created inside the booking, not in another screen first.

Extras and charges

A second driver, a child seat or a late return, added as they are agreed.

Deposits

What is being held, recorded on the booking and reported apart from revenue.

Fields of your own

Ask for what your business needs on a booking, and it appears wherever that booking does.

Cancellations

The vehicle returns to availability the moment a booking is cancelled.

The month ahead

A strip of the coming weeks weighted by how busy each day already is.

About taking bookings

What operators ask before they trust a diary they did not keep themselves.

Can two bookings land on the same vehicle?
No. Availability is a property of the vehicle rather than of a calendar somebody keeps up to date, so an overlapping booking is refused when it is made rather than found on the morning it clashes.
Can I take a booking for somebody who has just walked in?
Yes, and it is the same screen. The customer is created inside the booking, so a counter handover does not begin with data entry somewhere else.
Does a vehicle in for a service still get offered?
No. A vehicle booked off the road is unavailable for the window it is off, and the booking flow will not offer it for those dates.
Where do the prices on the list come from?
From the rental plan the vehicle is assigned to, so every quote comes from your own rates rather than from whoever is on the desk.
