The overview

Revenue, and the money that only looks like it

What you took this month against last, with deposits and cancellations kept where they belong, which is apart from it.

The finance overview in Rent Ride: revenue for the period, against the one before it.
Deposits are not revenue
A refundable hold is money you are looking after. It is reported on its own rather than flattering the month.
Read from the bookings
Every figure comes from what was agreed on a booking, so nothing is re-entered and nothing can disagree.
Against the month before
The comparison is on the page, because that is the part that means anything.

Receivables

Who owes you, and how long they have

Rental money is a rate, some extras, a hold and a part payment taken at the counter. This is what is left of it.

Receivables in Rent Ride, listing what is outstanding against each booking.
A balance per booking
Charges and payments land on the hire they belong to, so the balance is current rather than worked out monthly.
Part payments are normal
Money taken at the counter, in part or in full, however it was taken, recorded against the booking.
Nothing is netted off
What is owed and what is held are two figures, because treating them as one is how a month reads better than it was.

Invoices

In your own colours, numbered your way

Generated from the booking, so the document and the record it came from cannot come apart.

An invoice in Rent Ride, with the business’s own colour across the head of it.
Your letterhead
Your colour and your logo, with the ink on the band chosen by contrast so a pale brand colour still reads.
Your numbering
Your own prefix and date format, rather than ours.
Voided, never deleted
An invoice that should not have been issued is voided, so the record of what went out survives.

And what it does not do

Worth saying plainly, because the gap is where a second system usually gets bought.

Card processing stays yours

Rent Ride records what was agreed and collected. Taking the card is your own payment provider’s job.

Tax rates

Set once for the business and applied to what you issue.

Extras and adjustments

Late returns, fuel and damage, added to the booking they happened on.

Refunds of a deposit

Released against the booking, so the hold and its return are the same story.

Revenue per vehicle

What each one earned, once the rentals start.

Your billing, separately

What you pay us is in settings, and never mixed into what your customers owe you.

About the money

What Rent Ride handles, and what stays with your own bank.

Does Rent Ride take card payments from my renters?
Rent Ride records what was agreed, what was collected and what is still owed, and issues the invoice. Card processing for your renters stays with your own payment provider.
Can I put my own branding on an invoice?
Yes. The band across the head of the document takes your own colour, your logo and your numbering format, and the ink on it is chosen by contrast so a pale brand colour still reads.
How are refundable deposits handled?
They are held against the live rental and reported apart from revenue, so the month shows what you earned rather than what you are temporarily holding.
Can I delete an invoice that should not have gone out?
You void it. The document stops being valid and the record of what was issued survives, which is the part an accountant will ask for.
