A vehicle handover and return checklist
The five minutes at handover that decide whether a later damage charge is a claim or an argument.
For an operator training somebody to work the counter.
What should be recorded at handover?
Mileage, fuel level, dated photographs of every panel, and the hirer’s signature against the condition record and the agreement.
Photograph the wheels and the roof as well. Kerbed alloys and low-branch scrapes are the two most-disputed damage types precisely because nobody photographs them.
What should be checked at return?
The same things in the same order, so the two records can be compared line by line rather than argued about from memory.
Do it with the hirer present wherever possible. Damage agreed at the vehicle is settled; damage discovered after they have gone home is a phone call and often a chargeback.
How do you handle damage found later?
Go back to the two condition records. If the difference is documented and dated, you have a claim; if it is not, you have an assertion.
Contact the hirer quickly and with the evidence attached. A damage charge raised a fortnight later with no photographs is the single most common cause of a reversed payment.
Where should the records live?
Attached to the booking, not in a folder by date. The question is always "what happened on this hire", and that is how you will look for it.
The same applies to the signed agreement and any correspondence. A dispute six months on is won by whoever can produce the whole file in one place.
