How to track insurance, registration and inspection expiry
Why lapsed documents are found too late, and the reminder window that stops a vehicle going out uninsured.
For an operator with more vehicles than they can hold in their head.
Which documents actually need watching?
Insurance, registration and the roadworthiness inspection at minimum, plus any operator licence or local permit your market requires.
Each has a different renewal cycle and a different consequence for lapsing, which is why a single annual reminder is not enough for a fleet of any size.
Why do lapses get discovered late?
Because nothing looks different. A vehicle with expired insurance drives exactly like one without, and the calendar entry was made a year ago.
The dangerous version is a certificate that lapsed while the vehicle was already out on hire, which is discovered by an incident rather than by a check.
How far ahead should reminders run?
Thirty days for anything requiring a booking, like an inspection, and fourteen for renewals you can complete the same day.
Put the reminder window on the document rather than in a diary. A fleet where each certificate carries its own lead time is one where nothing needs remembering.
Should an expired document block the vehicle?
Ideally yes. If the vehicle cannot be booked while a required document is lapsed, the problem cannot become an incident.
At minimum it should be visible on one screen. The compliance question is always "what is about to lapse", and it should take seconds rather than a spreadsheet audit.
