How to stop double bookings in a rental fleet

Why double bookings happen to organised businesses, and the four structural changes that stop them rather than catch them.

For an operator who has just had to phone a customer and take a booking back.

What actually causes a double booking?

Availability kept in one place and bookings taken in another. The gap between the two is where the second booking is made.

It is almost never carelessness. A wall planner is accurate at the moment it is written on and drifts from then; a spreadsheet is accurate for whoever has it open. The booking that goes wrong is the ordinary one taken on the phone while somebody else was updating the board.

Should availability be checked per class or per vehicle?

Per vehicle. Class-level availability tells you how many you have, not which ones are free, and the difference is where overlaps hide.

Four compacts with three booked looks like one free until you notice the fourth is in for a service on Thursday. Checking the individual vehicle folds maintenance and off-road time into the same answer.

How does turnaround time fit in?

A vehicle back at eleven is not available at eleven. Turnaround is the gap for cleaning and checking, and it has to be held automatically.

Set it against the vehicle class rather than the individual car. Most operators land between one and three hours for cars and considerably more for anything with a kitchen in it.

What about maintenance and off-road time?

Both should remove the vehicle from availability on their own, so a booking against those dates is refused rather than taken and unpicked.

Keep them separate in the record. A service job and a long loan to a staff member both make the vehicle unhireable, but only one of them is a cost you want in maintenance reporting.

Can you fix this without changing software?

Partly. One planner that everybody uses, updated the moment a booking is taken, removes most of it. The rest needs the check to be automatic.

The discipline works while the business is small enough that one person sees every booking. It stops working at roughly the point a second person starts taking them, which is when most operators start looking for a system.
