How to calculate fleet utilisation, and what the number means

The formula, the mistake most operators make with it, and the utilisation range a small hire fleet should actually aim for.

For an operator deciding whether to buy another vehicle.

How is fleet utilisation calculated?

Divide the days vehicles were on hire by the days they were available to hire, then multiply by a hundred. Available days exclude off-road time.

Ten vehicles over a thirty-day month is three hundred vehicle-days. Take out twenty days of maintenance and you have two hundred and eighty available; if two hundred were hired, utilisation is about 71%.

Should off-road days count against utilisation?

Not in the denominator. A vehicle in the workshop could not have been hired, so counting it as idle measures your workshop rather than your sales.

Track it separately as downtime. The two numbers answer different questions: utilisation asks whether you are selling enough, downtime asks whether the fleet is reliable enough.

What is a good utilisation rate?

For a small hire fleet, roughly 65 to 80 percent across a year. Below that you are carrying vehicles; above it you are turning work away.

Seasonality makes the annual figure misleading on its own. A campervan operator might run above 90% in July and below 20% in January, and both are correct. Read it by month against the same month last year.

Why read it per vehicle rather than per fleet?

A fleet average hides the two vehicles doing nothing. One car with forty idle days is a decision; ten cars with four each is normal slack.

Per-class figures are the next most useful cut, because they tell you what to buy. High utilisation in one class and low in another is a fleet mix problem, not a demand problem.

When does utilisation say buy another vehicle?

When a class is consistently above about 85% and you are refusing bookings you can count. One busy month is not a purchase decision.

Pair it with revenue per vehicle. High utilisation with weak revenue per vehicle usually means the rates are too low, and another vehicle at the same rate will simply lose money more efficiently.
