RentSyst alternative for car rental businesses

A car rental system built around vehicle tracking, with GPS, telematics and remote vehicle controls as its headline capability.

The short answer

These two answer different questions. RentSyst answers "where is the car". Rent Ride answers "what leaves this morning, what is due back, and what is owed on it once the keys come back". If tracking hardware is what you are buying, buy theirs. If the counter and the money are what is costing you, this is the more thorough tool by a distance, and the five sections below are why.

Where Rent Ride does it better than RentSyst

The money stays on the booking

A hire is not one number. Rent Ride carries nine kinds of charge on the booking itself, and the ones that matter are the ones that arrive after the vehicle is back: a toll that lands three weeks later, damage found on the walk-around, fuel, cleaning, a late return. Each is its own line with its own status, so a booking is never "closed" while money is still owed on it, and the receivables view is the list of hires with something outstanding rather than a spreadsheet somebody keeps separately.

A deposit is money you are holding, not money you have made

A deposit is marked refundable on the charge itself, which means it never counts as revenue and never has to be unpicked from it at the end of the month. Giving it back is a status on the line rather than a second transaction invented to cancel the first, and a charge written off deliberately is marked waived rather than deleted, so the reason it went is still on the record a year later.

Tax rules that know what they apply to

You name your own tax types, say whether each is already inside the price or added on top, and name the charge kinds it applies to. That last part is the one that is normally wrong elsewhere: tax belongs on the hire and on the cleaning, and not on the deposit you are only holding. The rates are frozen onto the invoice as they read on the day it was issued, so raising a rate next year does not quietly rewrite what last year says.

Three reasons a vehicle is unavailable, all of them automatic

A hire, a service job and an off-road period each take a vehicle out of availability on their own, with no second calendar to keep in step. There is a fourth case handled separately and it is the one that catches people: a car that is back in time but not back long enough to have been cleaned and checked. That is reported as turnaround rather than as a clash, and it is the only conflict a manager is allowed to overrule, because it is the only one where they might reasonably know better.

What expires, watched on your own lead time

Insurance, registration, inspection, road tax and warranty each carry an expiry and a reminder window you set yourself, anywhere from the day itself to a year ahead. A certificate lapsing on a car that is already out on hire is the failure this exists to catch, and it is caught before the hire is taken rather than at the roadside.

What RentSyst is built around

Telematics-led. Its own site leads with real-time tracking, remote door locks and engine blocking, overspeeding alerts and fuel monitoring, which is genuinely valuable if knowing where the vehicles are is the problem you have.

Their positioning was read from rentsyst.com on 2026-09-06. Products change; check before deciding.

Choose RentSyst instead when

  • Live GPS tracking on the fleet is the thing you are actually buying
  • You want remote vehicle controls such as door locks and engine blocking
  • Where the vehicles are, rather than the paperwork, is what is costing you money

Questions people ask

Does Rent Ride track vehicles like RentSyst?
No. There is no GPS or telematics in Rent Ride and none in what ships today. Mileage is captured by hand at handover and at return rather than read off a device, which is worth knowing before you compare anything else.
What does Rent Ride do better than RentSyst?
The counter and the money. Nine charge kinds on the booking so the late tolls and damage have somewhere to go, deposits held separately from revenue, tax types that apply per charge kind, three automatic causes of unavailability, and document expiry with a reminder window you set.
Can I use both?
There is no integration between them and Rent Ride has no public API, so running both means running two systems side by side. If tracking is essential, take that as an argument for the tracking-led product rather than for this one.
Is there any hardware to install with Rent Ride?
None. There is nothing to fit to a vehicle and nothing to wire into a website. It runs in a browser, and setup is five answers on one screen before the first booking.

We sell one of these, so read it with that in mind. Every claim above is about what Rent Ride does and was checked against the software itself, nothing here says a competitor lacks anything, and where the other product is the better answer it says so.
